Does the robot operate on its own or does someone control it?+
Akari is guided by one of our team members on-site for the full event. They work the room, prioritise tables, and make sure every guest gets covered. You never interact with our operator directly. They stay in the background so the experience feels completely natural from your guests' perspective.
What does the custom overlay look like?+
We design it before the event based on what you share with us: event name, date, your branding or aesthetic direction. We send a proof for approval and make any changes before the day. Nothing gets printed without your sign-off. For corporate events it typically includes your logo and event details. For weddings and birthdays it is styled to match the invitation or theme.
Do you use off-the-shelf photobooth software?+
No. The software running the booth is our own, built from scratch. The welcome screen, the print layout, and the way photos reach your guests are all shaped around your event rather than fitted into a rented template. If you want something changed, we change it. There is no vendor to wait on.
Does the robot need power or WiFi from the venue?+
No. Akari is fully self-powered and operates without venue electricity or WiFi. That means it works at any licensed venue without any coordination with venue staff about infrastructure. Private dining rooms, outdoor terraces, banquet halls, convention centres: no special requirements from the space.
Can it be paused during speeches or key moments?+
Yes, always. We coordinate timing with you before the event. The robot is stationary and stopped during speeches, first dances, award presentations, cake cutting, or any moment you want uninterrupted. It operates best during dinner service and the free-flowing parts of the evening, not the parts your guests are meant to be watching something.
How do guests receive their digital photos?+
At the moment of capture, guests enter their phone number or email on the touchscreen and the digital copy arrives within seconds, before the robot has moved on. No app download required. Most guests share it before we have even moved to the next table, which is when the social reach is biggest.
Is there a limit on prints or photos?+
No. Ultimate and Custom Build include unlimited prints for the full duration of the booking. Essential is digital only. We come stocked for the whole event and there is no counter running in the background. Every guest gets as many photos as the night calls for.
Is the piloted photobooth rental accessible for guests with mobility limitations?+
Yes. Because the robot comes to each guest at their seat, it is naturally inclusive for guests in wheelchairs, guests with limited mobility, and older guests who would never queue at a corner booth. The entire event photography experience happens at table level: no standing, no walking, no queue. This is one of the most valued aspects of the roaming format for clients with diverse or multigenerational guest lists.
How is guest contact information handled after the event?+
Phone numbers and email addresses collected at digital delivery are used solely to send the guest their photo. We do not store, sell, or market to guest contact information beyond that purpose. Contact data is removed from our systems after the post-event gallery delivery window closes. Our data practices comply with CASL and PIPEDA.
Can guests choose not to provide their contact details?+
Yes. Digital delivery is completely opt-in. Guests who prefer not to share their phone number or email simply take their instant print and move on. No data is collected from anyone who declines. The instant print is theirs regardless.
When is the post-event gallery delivered and how long is it available?+
Your private online gallery is delivered within 48 hours of your event. It contains every photo from the night in full resolution, organised chronologically. The gallery remains accessible for 30 days from delivery, with individual image and full archive download available throughout. Extended hosting is available on request.
What happens if there is a technical issue during the event?+
Our operator is on-site for the full duration and resolves any technical issue immediately. We carry backup consumables for all events. In the rare case of a hardware failure that cannot be resolved on-site, we provide a full or partial refund proportional to lost coverage time. We have never had to end an event early due to a technical fault.
